Privacy Policy

This Privacy Policy describes how ChatSyncs ("we", "us", or "our") collects, uses, maintains, and discloses information from users of our Platform. By accessing or using ChatSyncs, you consent to the practices described here. If you do not agree, please do not use the Platform.

Our Platform and Services

ChatSyncs is a WhatsApp automation platform for businesses. We offer subscription plans that align with what we describe on our pricing page, plus one-time Expert Services for teams that want us to do the work for them:

  • Lite, Starter, Pro & Business (self-service subscriptions): Platform access for you to build and run your own automation — including broadcast campaigns, a shared team inbox, live chat, the no-code chatbot builder, access to the official WhatsApp Business API, broadcast segmentation, rich media (images, video, documents, interactive elements), custom fields and contact tags, and the AI Agent and AI Assistant on plans that include AI tokens. Higher plans add capabilities such as workflow and drip sequence campaigns, WhatsApp Flows, Click-to-WhatsApp (CTWA) ads and attribution, e-commerce integrations such as Shopify and WooCommerce, REST API and webhook access, and additional WhatsApp numbers, team seats, message credits, and AI tokens. Exactly what each plan includes — and the seat, credit, and token allowances that come with it — is set out on our pricing page. WhatsApp conversation fees are charged by Meta; we pass those rates through without markup.
  • Expert Services: Optional services where our team helps configure automation on your behalf — free Onboarding (number connection, Meta Business verification, migration, and a platform walkthrough) and the Custom Solution (automation flows built end-to-end, templates written and submitted, integrations, review, testing, and handover), a custom-scoped, one-time engagement. Custom Solutions are billed once, under the terms agreed with you.

Providing these services requires us to process account, billing, technical, messaging, and — where applicable — integration data as described below.

Personal Information

"Personal Information" means information that identifies you, such as your name, email address, and WhatsApp account details. "Sensitive Personal Information" includes passwords, payment data, and other data protected by law. We only collect information necessary to provide our services.

Information We Collect

  • Account and identity: Name, email address, phone number, company name, and similar details you provide when you sign up, start a trial, subscribe, or contact us.
  • Billing and payments: Payment-related information is processed by our payment partner (Razorpay). We receive limited billing details needed to confirm subscription status and comply with accounting and legal obligations.
  • WhatsApp and messaging: Data required to connect and operate your WhatsApp Business Account through the platform — such as identifiers, configuration, template and messaging metadata, and content that passes through our systems when you send or receive messages — in accordance with Meta's WhatsApp Business policies and your settings.
  • Your customers' data (contacts and conversations): Contact lists, tags, custom fields, conversation content, and related data you or your team upload or generate while using broadcasts, chatbots, workflows, and the inbox. You are responsible for having a lawful basis to collect and use that data; we process it only to provide the services you request.
  • Integrations: When you connect third-party services (e.g. Shopify, WooCommerce, or automation tools), we may receive or store credentials, tokens, or payloads needed to sync data and run workflows you configure. Google account connections are additionally governed by the Google Workspace API Data and Google API Services User Data Policy sections below, which take precedence over this bullet for any data received from Google APIs.
  • Advertising and attribution: Where you use Click-to-WhatsApp or related features, we may process campaign and attribution data as needed to report performance within the Platform.
  • Expert Services: If you engage our Expert Services, we may collect additional operational information you share with our team (briefs, assets, requirements) to deliver setup, flows, and handover.
  • Cookies: We use cookies to enhance your experience. You may disable cookies in your browser, but some features may not function properly.
  • Technical and usage data: Browser type, device, IP address, logs, and usage statistics to operate, secure, and improve our Platform. This category does not include data received from Google Workspace APIs, which we never use for product improvement, analytics, or model development.

How We Use and Share Information

  • To provide and operate the Platform and the features above — including account setup, chatbots, broadcasts, workflows, integrations, APIs, team access, and (where purchased) Expert Services.
  • To communicate with you about your account, billing, onboarding, support, product updates, and (where permitted) offers — and to respond to inquiries.
  • To work with service providers and infrastructure that help us host, secure, analyze, or deliver the Platform — including Meta (WhatsApp), payment processors, email and messaging providers, and cloud hosting — subject to confidentiality and purpose limitations.
  • To improve, secure, and customize our Platform. We do not use data received from Google Workspace APIs for this purpose — Google Workspace data is used only to provide the specific feature you asked for, and never to develop, improve, or train any product, service, or machine learning model.
  • We do not sell, trade, or rent your personal information. We may share aggregated, non-identifiable data for analytics or business purposes — this excludes data received from Google Workspace APIs, which we do not aggregate, anonymize, or otherwise derive data from for analytics, business, advertising, or model-development purposes.
  • We may disclose information if required by law or to protect our rights, users, or the public.

Google Workspace API Data

ChatSyncs lets you connect your own Google Account so the Platform can work with Google Sheets, Google Drive, and Google Contacts on your behalf. Connecting a Google Account is entirely optional — the rest of the Platform works without it. We access Google Workspace data only after you complete Google's consent screen and explicitly authorize the specific scopes below, and only to deliver the feature you requested.

  • Google Sheets: You may choose one or more of your Google Sheets to serve as the knowledge base for an AI Agent. We read only the specific spreadsheets you explicitly select. We do not scan, index, or read any other spreadsheet in your account, and we do not browse your Drive looking for sheets to use.
  • Google Contacts: Used solely to create and manage contacts at your request — for example, saving a WhatsApp contact into your Google Contacts, or updating a contact you asked us to update. We do not use your contacts for marketing, enrichment, profiling, or contacting anyone on our own behalf.
  • Google Drive (drive.file scope only): We request the narrowly-scoped drive.file permission, which limits our access to files that were created by ChatSyncs or that you specifically opened with ChatSyncs. This scope gives us no visibility into the rest of your Google Drive, and we do not request broad Drive access.

We never collect Google Workspace data without your explicit authorization, and we process it only to provide the user-facing functionality you requested. We request the minimum scopes needed for these features and nothing more.

Retention and revocation. Google Workspace data is retained only as long as necessary to provide the requested service. Sheet content used as an AI knowledge base is read at the time it is needed and is retained only for as long as the corresponding AI Agent remains configured to use it. You may disconnect your Google integration at any time from your ChatSyncs account settings, or revoke ChatSyncs's access directly at myaccount.google.com/permissions. On disconnection or revocation we stop accessing your Google data and delete the stored OAuth tokens; any cached Google Workspace content is deleted, except where a short-lived copy must persist briefly in backups, which age out on our standard backup cycle.

AI Services and Google Workspace Data

ChatSyncs uses a third-party AI provider — the OpenAI API — to power AI features such as AI Agents that answer your customers' questions.

  • Google Sheets content is sent to OpenAI only when you have explicitly enabled AI features and explicitly selected that Google Sheet as the knowledge base for an AI Agent. If you do not enable AI features, no Google Workspace data is sent to any AI provider.
  • When that data is sent, it is sent solely so the AI Agent can answer using the knowledge base you chose. Google Workspace data is processed only to provide that requested functionality.
  • Google Workspace data is never used to train generalized AI or machine learning models — not by ChatSyncs, and not, under our agreement with them, by OpenAI.
  • ChatSyncs does not use Google Workspace API data to develop, improve, or train its own AI or machine learning models, and does not use it to build features unrelated to the one you requested.
  • Google Workspace data is never sold and is never transferred to any party for advertising, ad targeting, or model-training purposes.
  • Human review of Google Workspace data does not occur except in the limited cases permitted by Google's Limited Use requirements — namely with your explicit consent, for security purposes, to comply with applicable law, or where the data is aggregated and anonymized for internal operations in a manner Google's policy permits.

Google API Services User Data Policy

ChatSyncs's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of raw or derived user data received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements, and to the Google Workspace API User Data and Developer Policy.

Specifically, and without limitation:

  • Google Workspace data is not used for targeted advertising, ad personalization, or any advertising purpose.
  • Google Workspace data is not used to create, develop, improve, or train generalized AI or machine learning models.
  • Google Workspace data is not sold, and is not shared with data brokers, information resellers, or credit bureaus.
  • Google Workspace data is used only to provide or improve the specific user-facing features that you, the user, have requested — never for unrelated purposes.
  • Google Workspace data is retained only as long as necessary to provide the requested service, and is deleted when you disconnect the integration or delete your account.
  • You may revoke ChatSyncs's access to your Google Account at any time through your account settings or at myaccount.google.com/permissions.

If any other statement in this Policy conflicts with this section as applied to data received from Google APIs, this section controls.

Your Choices

  • You may disable cookies in your browser settings.
  • You may opt out of marketing communications at any time by contacting us.
  • You may update or delete your information by contacting us or through your account settings. Some information may be required to use our services.
  • You may disconnect any connected Google integration at any time from your account settings, or revoke access directly at myaccount.google.com/permissions. See Google Workspace API Data for what happens to that data afterwards.

Your Rights

Depending on your location, you may have rights regarding your personal information, such as access, correction, deletion, or restriction. To exercise your rights, contact us at support@chatsyncs.com.

Data Security

We implement reasonable security measures to protect your information. However, no method of transmission or storage is 100% secure. Use the Platform at your own risk.

Changes to This Policy

We may update this Policy from time to time. Changes will be posted on this page. Continued use of ChatSyncs after changes means you accept the updated Policy.
